Accommodation
Bookings
Blocks have been made at the following hotels to secure these rates. Your accommodation needs to be booked on your conference registration form and NOT direct with the hotels to use the conference rates. Registration opens April 2008. Early bookings are advised. Bus transfers to the conference venue will NOT be provided as most hotels listed below are within walking distance to Newcastle City Hall.
Rates include GST (Australian Goods and Services Tax) and are quoted on a per room per night basis and do not include breakfast. These rates cannot be guaranteed for accommodation requests made after 18 August. Accommodation cancelled within 7 days of arrival may be subject to a cancellation fee of the first night’s accommodation, at the hotel’s discretion. Distances indicated are between Newcastle City Hall and the hotel/motel. Please ENSURE you include three hotel selections on your registration form in order of preference.
Deposit
Accommodation bookings will NOT be made on your behalf unless accompanied by a minimum deposit of one night’s accommodation (or a credit card guarantee - see below). You may also pre-pay your total accommodation if preferred otherwise you will be required to settle the remainder of your account in full on departure from the hotel. Accounts for payment will not be issued by the hotel unless you have made prior arrangements to do so.
Credit Card Guarantee Deposit
Alternatively, your accommodation deposit can be paid by a credit card guarantee. The credit card details provided will be forwarded to the applicable accommodation venue to secure your booking. The hotel may charge an amount equal to the first nights accommodation to the credit card prior to your arrival.
Change of Booking
Prior to 9th September 2008 changes can be made through the Conference Manager, after this date please contact the relevant hotel directly and advise the Conference Manager of the change as soon as possible.
Early Arrivals and Late Departures
All requests for early check-in and late checkout will be passed on to the respective hotels however no guarantees can be made. Check-in is usually after 2:00pm and checkout by 10:00am.
Bedding Preference
Please advise bedding preference on registration form; example: 1 queen and 2 singles
Twin: Two people requiring two separate beds
Double: Two people sharing one bed
Single: One person in one bed
